Vancouver, BC | The General Manager is a part-time position compensated by annual salary.  The General Manager is responsible for overseeing the organizations administration and staff, financial positioning, donor stewardship, and strategic planning. The General Manager reports to musica intima’s Board of Directors through the Board Executive. 

The General Manager is driven by the Society’s mission statement and strategic plan. Specific responsibilities of the General Manager are outlined below. These responsibilities will be carried out in collaboration with others in the Society, and may also be supported by various contractors and volunteers reporting to the General Manager, as appropriate.

Minimum two years of management experience. Completed post-secondary program required. 


A. GENERAL MANAGEMENT

i. Act as the administrative point of contact and spokesperson for the organization, including managing all mail, email, phone and fax communications from outside parties.

ii. In consultation with the Ensemble and the Board, develop and implement musica intima’s administrative policies, long-term planning strategies and annual business plans.

iii. Develop efficient and transparent administrative structures and processes. Compile job descriptions for all employees and contractors, and evaluate their work. Identify gaps in staff and volunteer positions and ensure those gaps are filled. Proactively seek out creative ways to enhance productivity, effectiveness, and transparency.

iv. In consultation with the Board’s Treasurer and the Ensemble’s Chairperson, prepare the society’s annual operating budget, project budgets, and three-year planning budget.

v. With the assistance of a bookkeeper and the Finance Committee, ensure a proper record of all financial transactions of the Society, including all income, expenses and bank statements. Ensure prompt payment of all expenses incurred by the society. Operate the society’s bank accounts. Fulfill orders for musica intima recordings and merchandise.

vi. Ensure all expenditures are within designated budget limits and consistent with the financial policies of the Society.

vii. In consultation with the Board’s Treasurer and Finance Committee, provide a minimum of one financial report per quarter summarizing the Society’s actual revenues and expenses to date, providing forecasts for the remainder of the year, and estimating the expected variance from the annual budget approved by the board.

viii. In consultation with the Board’s Treasurer and with the assistance of the Finance Committee, prepare all financial records (using an approved accounting package) for audit and the Annual General Meeting, GST returns, Statement of Accounts, charitable receipts, and insurance coverage.

ix. Prepare annual reports to the provincial Registrar of Societies and the federal Receiver General.

x. Attend all Board meetings and Ensemble meetings, and other committee meetings as agreed. Attend all self-produced concerts and any other performances as possible.

xi. In consultation with the Ensemble’s executive committee and Board secretary, facilitate all internal communications between the board, and the management, including but not limited to preparation and distribution of minutes of Board and ensemble meetings and committee reports as relevant.

xii. Co-ordinate and prepare as necessary all reports for the society’s Annual General Meeting.

xiii. Manage SUMAC, a database of musica intima’s performance history, audience, donors, sponsors, volunteers, and media and all of the associated financial transactions, attendance, donation history, and communication. 

xiv. Update the Society’s SOCAN account on a quarterly basis.

xv. In consultation with the singers and the board, identify and manage key suppliers of all outside products and services required by the Society – e.g., office supplies, CDs, etc.


B. ARTIST MANAGEMENT

Subject to general guidelines developed and updated periodically in consultation with the Artistic Manager, create financial structures which support the artistic product, seeking and securing funding which supports: new performances; recordings; collaborative engagements for musica intima; travel and festival appearances; professional development; showcases and symposia; new commissioning opportunities. All grant and foundation undertakings should clearly align with musica intima’s mission, vision, values, and strategic objectives. 

In collaboration with Artistic Manager, book concert venues for musica intima’s self-produced concerts and ensure all facilities, equipment, and preparations are organized in time for the concert.

Manage the front of the house for all self-produced concerts, including coordination of volunteers.

C. MARKETING & PUBLIC RELATIONS

In collaboration with the Communications Manager, Board and Ensemble, develop and implement immediate and long-term communication strategies to support musica intima’s mission and strategic plan, including timelines, priorities, and messaging.

In consultation with the Communications Manager and Ensemble Chair, oversee all sales, marketing and public relations activities including subscriptions, single ticket sales, CD sales, and hired services. 

In consultation with the Communications Manager, prepare all marketing materials and collateral for the Society.

Manage the administrative data related to marketing, including adding records to and removing records from the mailing list, SUMAC database, entering subscription and ticket buying history and co-ordinating data entry for surveys.

D. FUNDRAISING

In Collaboration with the Board’s Development Committee, develop and implement immediate and long-term fundraising plans, including plans and timelines for cultivating and maintaining government and foundation revenues, individual donors (including annual drives and special events), and corporate sponsorships, as well as special project grants as appropriate.

Act as a liaison between the Development Committee and Communications Manager to identify possible synergies among marketing and fundraising activities.

With the assistance of a bookkeeper, ensure prompt acknowledgement of all donations with a tax receipt and thank you letter, and ongoing acknowledgements of donors as appropriate.

Prepare all grant applications and submissions for funding from sources such as Public Gaming, government agencies, and foundations.  Prepare any follow-up reports required by granting agencies. 

E. STRATEGIC PLANNING

i. In collaboration with the Strategic Planning Committee, develop a long-term strategic plan on an annual basis.
